September PTO General Assembly Meeting Minutes
Rumsey Station PTO
Thursday, September 5, 2024 @ 6:30
Meeting called to order by President Traci Nimmo
─
Attendees
Traci Nimmo, Britney Wheeler, Hannah Mumma, Erin Maloney, Sarah Millner, Erin Drum, Dan Kauk, Annie Medakovich, Caitlin Crouch, Allison Snyder, Brandy Nelson, Jenny Gollehon, Angie Fair, Erin Javorski, Elizabeth Bowers
President’s Report
-Traci called the meeting to order at 6:33.
-At the beginning of the meeting, the current board members were introduced to the attendees.
Traci Nimmo - President
Britney Wheeler - Vice President
Hannah Mumma - Secretary
Erin Maloney - Treasurer
Sarah Millner - Member at Large
Erin Drum - Member at Large
-The first order discussed was the upcoming Fun Run fundraiser taking place Friday, September 27. Traci reported that the tshirts have been ordered and the cost was completely covered by sponsor donations, which is currently $6,000.
-The next item discussed was a possible 30th Anniversary celebration taking place this upcoming April. Some ideas proposed were themed raffle baskets for each grade level, carnival theme, Pancake Man and inviting past staff and students to attend. Dan Kauk will work with the district’s director of communications for some help in planning the event.
-Parent/Teacher conferences will be taking place October 8 and 9. Erin Maloney will be taking care of teacher meals for those evenings. Her husband will be cooking for one evening and the other evening will be catered by Olive Garden. Set up and tear down of meals will be taken care of by PTO board members.
-Papio Fun Park fundraiser will take place Friday, October 4 from 6-8. Admission to Papio Fun Park will be $5 per child and all money earned will go back to the PTO.
Secretary’s Report
-Popcorn Friday is done the first Friday of every month. Volunteers use the school’s popcorn machines to pop a bag of popcorn for each student and staff member and they are delivered to the classrooms for kids to eat later in the day. Hannah Mumma explained that finding bulk, unpopped popcorn has been difficult lately, so she asked if anyone had any leads on where to find some to please pass them on to the PTO.
-Working Wednesday is another volunteer opportunity where volunteers come in to help with any small projects teachers may need help with, such as copying, laminating, etc. Signups for both Working Wednesday and Popcorn Friday can be found on the PTO website.
Treasurer’s Report
-Erin Maloney discussed the budget for the upcoming year. During the school year that was affected by COVID, money was raised by the school, but the PTO didn’t spend much of it because there were no events taking place that year due to parents not being allowed in the building. Because of that, the PTO had a surplus of money the past few years that they have been trying to spend down and try as best as possible to keep it within the families that helped raise the money.
-A copy of the budget was handed out to attendees. Most items stayed the same as previous years. The budget can be altered if necessary, but only with a vote at a general assembly meeting. Any request for funds that is $199 or less can be approved by the PTO board members. Any request that is $200 or more must be voted on at a general assembly meeting. There is a combined “events” category in the budget that includes events such as class parties, field day, field trips, safety patrol party, 6th grade party, etc. Having the combined category makes it easier to shift funds within the category if needed without needing to have a vote.
-A question was raised about why the budget for scholarships went down from $1000 to $500. Erin explained that Rumsey used to offer 2 scholarships at $500 each, but last year there were only 8 applicants, so we will only be doing 1 scholarship this year. We were also the only school to offer 2 scholarships, all other elementary schools have only done 1 in the past, so we will be following in line with them going forward.
-Another question raised was about the IXL expenses in the budget again this year. IXL is an educational platform that is used by all students throughout the school. Students can use it both in and out of the classroom. IXL is typically done during PLC time which is 20-25 minutes per 10 day cycle and also done within the classroom depending on the grade/classroom. The price of the contract was split into 3 parts; ⅓ was paid last year, ⅓ will be paid this year and ⅓ will be paid next year. IXL is not utilized across the district, just at some schools and it helps to increase MAP scores.
-Traci Nimmo motioned to approve this year’s budget. Elizabeth Bowers seconded the motion. The budget was approved unanimously.
Member at Large Reports
-Sarah Millner has added/updated all Chef’s Night Out dates to the PTO website. Treat Your Teacher Tuesday for September will take place on Tuesday, September 24 and preschool will be responsible for bringing in snacks for the teacher’s lounge.
-Harvest Parties will take place October 31. Sarah Millner will get in touch with parents who were interested in volunteering for the parties and give them a first chance to sign up. The sign up will be added to the newsletter and also available on the PTO website.
-Trunk or Treat will take place Sunday, October 27 from 2-4. Tom’s Traveling Coffee and Cocoa Truck will be there for refreshments along with a freeze dried candy table. A sign up for trunks will be added to the newsletter and also available on the PTO website.
-Chalk the Walk will take place on Thursday, September 26 at 6:30. The theme of this year’s Fun Run is Candyland, so the PTO is planning to paint the squares around Eagle Ridge Park where the fun run will take place with chalk, so the sidewalk looks like a Candyland board. Teachers will add the volunteer opportunity to their individual newsletters.
Staff Reports
Caitlin Crouch, a 1st grade teacher, along with other 1st grade teacher, Kammie Moran (not in attendance) are requesting $678.72 for items to enhance their new curriculum. First grade is using a new curriculum this year for some of their subjects. The curriculum is divided into “domains” and Crouch and Moran would like to purchase some reusable materials to help “bring the domains to life”. The current domain is The Human Body, so they were looking to purchase items such as the board game Operation, gloves, masks, medical tools, etc for the students to use at the end of each unit/domain to reinforce the topic. Hannah Mumma motioned to approve. Erin Maloney seconded the motion. The motion was passed unanimously.
Brandi Nelson is the music teacher at Rumsey Station. Nelson requested $632.48 for a music stand holder. The stand holder will make for easier transport of stands to and from the spring concert, will help with organization of the music room and also allow students to assist with clean up after class. Erin Maloney motioned to approve the request. Britney Wheeler seconded the motion. The request was approved unanimously.
Principal’s Report
Principal Dan Kauk has accepted a new position within the district and will be transitioning into the new position over the next few months. On days/times he will be away from the building, he will have coverage within the building and will also be available via phone for any issue that arises. There will be an interim principal starting in January to finish out the school year and the district is currently in the process of accepting applications and looking to hire for the upcoming school year. Kauk has sent an email to all families with information regarding this change.
The meeting was adjourned at 7:22 pm by Traci Nimmo.
November PTO General Assembly Meeting Minutes
Rumsey Station PTO
Thursday, November 7, 2024 @ 6:30
Meeting called to order by President Traci Nimmo
─
Attendees
Traci Nimmo, Hannah Mumma, Erin Maloney, Sarah Millner, Erin Drum, Annie Medakovich, Jenny Gollehon, Angie Fair, Kevin Selin
President’s Report
-Traci called the meeting to order at 6:34.
-The first order of business was an update on the new furniture for the library. The new tables, chairs and rockers have all been ordered and will arrive in approximately 6 weeks.
-Next Traci brought up the option of doing school supply kits for the following school year. The school supply boxes would be an option for parents to purchase with all the needed school supplies for the year. The box would be catered to Rumsey’s specific requests by grade level. There were 2 options; 1) 1st Day School Supplies - the items would be name brand, they offer free shipping, purchaser would get a credit to use with Spiritwear and 2) School Kidz - the items would be off brand. The cost of the boxes would be approximately $50-75 depending on the final list of items included. Parents would need to order by July 1st and they would be shipped to individual houses. Jenny Gollehon reached out to a friend at Hickory Hill who said they had used this program in the past, but do not participate anymore due to lack of use and cost. After a brief discussion, it was decided that we would not offer the boxes and possibly revisit the option at a later time.
-Mathenasium will be hosting a Math Night at Rumsey Station on 12/5/24 from 6:30-8:30. They will bring supplies for 8 math related stations and each station will have options for lower and higher grade levels. The games will be interactive and there will be Mathenasium staff available to help facilitate the activities.
-The September meeting minutes were voted on and approved unanimously.
Treasurer’s Report
-Erin Maloney gave an update on budget items. We received 3 matching donations for the Fun Run fundraiser which brought our total raised to $26,939. We had proposed $7000 to spend on prizes, but only spent approximately $4800. We also spent less money than planned on staff meals for the September parent teacher conferences, so we will have more to spend on future staff meals during the rest of the year.
Members at Large
-Trunk or Treat was a success. We met the minimum requirements for both food trucks that were available. It was discussed that we would shorten the time frame for next year from 2 hours to 1-1.5 hours.
-Chef’s Night Out - CNO participation has been lower this year than past years. The District has been using a new program, Peach Jar, for flyers which is electronic, so schools are not permitted to send home paper flyers with students and instead must post their flyers electronically on Peach Jar. We discussed a way to increase participation in Chef’s Night Outs and because we are unable to send home flyers as a reminder, we discussed using stickers to send home with the students as a last minute reminder in hopes of having more people participate. We also discussed posting the amount earned after each CNO on the Rumsey Facebook page to possibly encourage more families to attend. We talked about setting up a poll on Facebook for families to submit restaurant ideas that they would like to attend. Sarah Millner will also look into a coffee shop option for a future CNO.
-It was brought up that in the past we had done a fundraiser night at Santa’s Rockin’ Lights and that we could possibly do that again. Traci will look into seeing if that is a possibility.
Additional Items
Angie Fair mentioned that April is the Month of the Military Child. She asked if we had ever done anything in support of that since Rumsey has a fair amount of military families. Rumsey has not done anything in the past aside from a dress up/wear purple day, but we will look into possible other options for upcoming years.
Annie Medakovich asked about the Box Tops for Education program. She felt that it wasn’t well known and that maybe an email could be sent out as a reminder to families to participate as a way to earn money for the school.
The meeting was adjourned at 7:06 pm by Traci Nimmo.
January PTO General Assembly Meeting Minutes
Rumsey Station PTO
Thursday, January 9, 2025
─
Attendees
Traci Nimmo, Britney Wheeler, Hannah Mumma, Erin Maloney, Sarah Millner, Erin Drum, Barbara Wild, Angie Fair, Kevin Selin, Elizabeth Bowers
President’s Report
The meeting was called to order at 6:34 pm by President Traci Nimmo.
Traci Nimmo introduced and welcomed Rumsey’s interim principal, Barbara Wild. Barbara will be with us through the rest of the school year.
The first matter discussed was options for next year’s board members. Voting for new board members will take place at the next General Assembly meeting in March. Vice President Britney Wheeler will not be returning, but the other members will be eligible to return if desired. Anyone interested in a board position will need to attend the March meeting in order to participate in voting.
The tables and chairs for the library have arrived. A few of the tables have some scuff marks or damage. Traci has contacted the company inquiring what can be done about the damage.
Meeting Minutes from November’s meeting were approved unanimously.
Secretary’s Report
Working Wednesday and Popcorn Fridays are going well. Hannah Mumma and Sarah Millner will check popcorn supplies and order any items that are running low.
Treasurer’s Report
Erin Maloney is in charge of meals for conferences taking place the first week in February. A PayPal link will be posted in the weekly newsletter for anyone who wants to donate money towards the meals.
The school earned $1,107 from the Texas Roadhouse fundraiser.
Kindergarten teachers requested items for their Kings and Queens unit. The request was under the $200 threshold and was approved by the board members.
Other Items
Families voted on an activity for January and a glow dance was the winner. We discussed options for the dance, including:
-Planning to charge $5 per family which would include a snack and drink at the
dance.
-Student Council will be asked about making some posters to advertise the dance.
-Erin Drum asked about where to rent some black lights. We will check with staff
members about borrowing any that they may have. Erin will also reach out to some
rental companies to see about renting them as well.
The next item discussed was the Bingo for Books event that will be taking place in February. Britney will contact the Pancake Man about also having him at the event and also the dates he has available, so we can set an actual date for the event. Angie Fair asked if 6th graders could possibly sell candy at the event in order to raise money for their end of the year party. Erin Maloney said 1) the PTO has already budgeted enough money for the 6th grade party and 2) in the past, having the 6th graders sell candy at events has not been profitable enough to make it worth it.
6th grade students have inquired about getting new shirts for their track and field day in the spring. 6th grade teachers will have to make a staff request in order for that to be a possibility.
The next topic discussed was the possibility of having a 30 year anniversary party, an idea that was previously suggested by Joe Pudenz. Ideas that were discussed included:
-having the event in the fall, possibly on Back to School night.
-burying a time capsule with items from students and/or items pertaining to the
year 2025.
-purchasing an actual tube/capsule that could be buried or displayed at the school
-inviting past staff, students, scholarship winners, families, etc.
-possible themes: ‘Back to the Future’, carnival
-someone will reach out to the district’s communications department about helping
to advertise the event.
The idea was raised about having a themed gift basket raffle event as a possibility for later this year/next school year.
Parent Kevin Selin is an employee at Southwest Airlines. SWA offers a volunteer program where employees can volunteer in a school and are then able to donate airline tickets to the school. If tickets are earned, they could potentially be used in the raffle basket event. Kevin will look more into the logistics of the program and get back to the PTO at a later date.
The meeting was adjourned at 7:08 pm by Traci Nimmo.
